Start with three roles, not thirty

You don't need granular permissions on day one. Most growing agencies run well on three:

  • Owner / admin — full access, billing, and the power to add or remove people.
  • Advisor — manages their own clients, policies, quotes and renewals.
  • Support / ops — handles uploads, documents and tasks, without touching commercial data.

Access should match responsibility, not seniority

The instinct is to give trusted people more access. The better rule: give people the access their job needs. A brilliant support hire doesn't need to see brokerage figures to file documents well — and limiting that isn't distrust, it's hygiene that protects everyone.

Make handoffs invisible to the client

The real test of good roles: when an advisor is on leave, can a teammate pick up their client without the client noticing? If policy history, notes and next steps live in one shared workspace, the answer is yes. If they live in someone's inbox, the answer is a missed renewal.
